Buying a Laser Engraver? Follow This Procurement Checklist First

When I took over purchasing in 2020, I had no laser engineering background. I still don't. But I manage equipment buying for a 38-person fabrication shop, and that means I sign off on machinery that can cost more than a small car. This checklist is what I wish I had before my first laser engraver purchase. It's designed for buyers who aren't laser engineers but still have to make the numbers work. Seven steps, plus three mistakes I keep seeing others make.

Step 1: Map Your Actual Production Workflows

My first instinct was to compare laser power. My production manager asked, "What are we actually making?" That changed everything. We make acrylic plaques, branded wooden gifts, and metal tags. A basic 40W laser cutter can handle the wood and acrylic—though cutting thick acrylic is slow. This is the step that technical buyers ignore. A sales rep can talk specs all day. But can the vendor's back office send a PO-compatible invoice, provide a firm ship date, and explain what happens if the crate arrives damaged? The third time a vendor gave us a handwritten receipt, I started asking these questions before purchase. One unreliable vendor cost us $2,400 in rejected expenses. Ask for references from procurement people, not just production managers.

Here's the thing: you're not just buying a machine. You're buying the vendor's invoicing, shipping, and support processes too.

Step 7: Plan for Safety, Compliance, and Freight

Laser equipment requires proper ventilation and sometimes interlock changes depending on your location. Check your local rules before you sign a PO. Also, if you're buying a laser to make products for customers, you inherit advertising claim obligations.

Per FTC guidelines (ftc.gov): "Claims must be truthful and not misleading" and "substantiated with evidence."

So if you plan to promote bamboo keychains as "eco-friendly," have the data to back it up.

If you ship engraved goods, verify shipping rates early. USPS has clear definitions for letters and large envelopes, but a 12" x 18" acrylic plaque won't qualify for either (you'll pay a parcel rate). Three Mistakes That Cost Us Money

  • We skipped installation cost. It was an extra $900 and created an internal headache when the invoice arrived. Make sure it's in the quote.
  • We fell for the "40W is enough" advice. It's enough for light engraving, not for production cutting of thick acrylic. Match the machine to your actual order volume.
  • We ignored the vendor's invoicing process. That cost us $2,400 in a rejected expense report. Before placing a large order, ask to see a sample invoice.

Final Thoughts

After five years of managing these purchases, I've learned this: start with the workflow, get a real quote, test with your own files, count the total cost, and make sure the vendor can support you after the sale. The cheapest option is only cheap if it doesn't slow you down. The best option is the one that makes your internal customers happy without breaking your budget. Not ideal, but workable—that's the procurement standard I aim for.
